*This job features a variety of conventional, routine admin responsibilities (phones, mail, organizing, working in Excel etc.) performed in a fun, fast-paced culture with very predictable work hours (8-5).

The position is perfect for anyone whose main focus is NOT extensive career growth but rather someone comfortable performing recurring tasks within a predictable work schedule. The job would be a good career fit for someone "returning to work" after a career hiatus or someone juggling other interests outside of work.

The job requires 4+ years similar experience (sorry, this is not a "first" job).

Great phone skills, attention to details, strong follow-up proficiency, top-notch computer skills (Excel, Outlook, Word) and the ability to handle multiple projects simultaneously are the most important skills you’ll need to be successful at this job.  Please, if you are missing these traits, do not apply.

You also have the base to succeed at this job if you have a friendly, likeable, approachable personality (we can teach you a lot, but we can't teach you this!).  You should also be self-confident, well spoken with a pleasant phone persona.

A basic understanding of business principles and how marketing, sales and operational success relate is necessary to achieve longstanding success in this role.

JOB RESPONSIBILITIES:

The job responsibilities for this position fall into 4 main areas:

  1. General office support
  2. Sales team and management support
  3. Shipping and receiving
  4. Assistance with invoicing and non-complex financial issues.

Here is a rough breakdown of the timing of your job responsibilities:

DAILY
Answer phones, open and distribute mail, light shipping & receiving, posting of outgoing mail, maintain spreadsheet of invoices, invoice orders, assist with administrative portion of marketing/sales efforts, general support of office personnel.

FREQUENTLY
Manage client referrals and associated gifting, file paid bills, run reports and chart results of various sales figures, organize staff attendance at tradeshows, order office supplies as needed, processing and sending out customer Thank You Mailings, research address corrections, preparing desk/office space for new employees, support members of the management team and the ever popular, special projects!

What is not part of the job?

  • Travel; all of your work will be done from our Chicago offices.  No trips to O’Hare, no cab rides, no flight delays, no sleeping in strange beds.
  • Long hours; while there will be peak periods where additional hours are required, we are firm believers in quality of life and that we should all “work to live” and not vice versa.

Key Experience:

  • High School Diploma or equivalent
  • 4+ years in a similar position.

Compensation: Base salary + benefits

Hours: Monday through Friday, 8:00 a.m.- 5:00 p.m. Most workweeks are 40 hours.
